Guidelines for presenters

Presenters have key role in the success of top-quality concurrent sessions at the ATEE 2023 Annual Conference.

The following advice will help you prepare in advance. Please read the instructions carefully.

 

Before the Conference

  • Familiarize yourself with the conference programme. The programme is available on the Conference website, as well as it will be uploaded to a dedicated Conference App. Access to the Conference App will be provided by email by the 23rd of August at the latest.
    • If you have not received the invitation to the Conference App by the given deadline from the representatives of the Organising Committee, contact Erika Kopp (kopp.erika@ppk.elte.hu) to obtain this information.
  • Read your own and your co-presenters’ biographical material and abstracts uploaded to the Conference App before your session.


For session speakers:

  • Get to know the structure and method of the conference:
  • Based on the final number of accepted applications, (preferably) 4 to 5 presenters can be expected at each session.
  • All presenters and conference participants will be required to get prepared before joining the sessions by reading the abstracts and familiarizing with the topics.
  • Presenters will have 10 minutes to briefly summarise their research and share their own questions connected to the presentations.
  • The conference is unique as it is focusing on the equal involvement of presenters and participants in a facilitated discussion related to the short presentations (in the context of the topic of the session).
  • Conference participants will have the possibility to ask their questions after each presentation in the respective Q&A session.
  • Each session will be moderated by a chair. Chairs will be asked to inspire the audience and the presenters to join the discussion and facilitate Q&A that is relevant for all.
  • Presenters and conference participants will form a multicultural community of researchers and practitioners, therefore please respect diversity when actively participating in the discussions.
  • Prepare your presentation following the below rules:
    • The presentation can last 10 minutes maximum, providing room for fruitful discussions with other participants of your session.
    • The language of presentation is English.
    • The presentation can be in any of the following formats (including files accessible offline and/or online): PowerPoint, Prezi, Canva presentation. Other restrictions concerning the format and content are not applicable.
  • Bring your presentation in any of the following ways:
    • Internet connection and a computer with Windows OS will be provided at each room, therefore we recommend you upload your presentation prior the conference to a cloud-based storage and open/download the file upon arriving to your session room.
    • In case you cannot/do not want to access a cloud-based storage, please bring your presentation on a USB flash drive.


For poster presenters:

  • Get to know the structure and method of the conference:
  • Based on the final number of accepted applications, (preferably) 10 to 12 poster presenters can be expected at each session.
  • Presenters will have 10 minutes to briefly summarise their research and share their own questions connected to the posters.
  • The conference is unique as it is focusing on the equal involvement of presenters and participants in a facilitated discussion related to the short presentations (in the context of the topic of the session).
  • Conference participants will have the possibility to ask their questions after each poster presentation in the respective Q&A session.
  • Each poster session will be moderated by a chair. Chairs will be asked to inspire the audience and the presenters to join the discussion and facilitate Q&A that is relevant for all.
  • Presenters and conference participants will form a multicultural community of researchers and practitioners, therefore please respect diversity when actively participating in the discussions.
  • Prepare your poster following the below rules:
    • The poster shall not exceed A/0 size (841×1189 mm). The poster must be printed in advance, since printing assistance is not provided at the conference venue. Other restrictions concerning the format are not applicable.
    • The language of poster and presentation is English.
    • The poster presentation can last 10 minutes maximum, providing room for fruitful discussions with other participants of your session.

 

During the Conference

  • Be at your session room on time. The room of your session will be opened at least 15 minutes prior to the start of your session.
  • Remember the ground rules of each session:
    • Each presentation can last 10 minutes maximum.
    • There is a Q&A session after each presentation.
    • No sign-language interpretation or transcription service is provided.


For session speakers:

  • Presenters are asked to go to their session rooms on time in order to upload/download their presentations to the computer that is provided in the room.
    • Please note that there is no possibility to connect your own computer neither to the projector, not to the primary computer (as a second screen).
    • Presenter remote control for the computer is not going to be provided, therefore please bring your own if needed.


For poster presenters:

  • Poster presenters are asked to go to their session rooms on time in order to make sure their poster is applied well on the display boards.
  • Assistance will be provided for setting up the display boards.

 

After the Conference

  • Each presenter will be given the opportunity to contribute to the Conference Book of Proceedings with one scientific paper per presentation. Submission deadline is 31st October 2023. The Book of Proceedings will be published with an ISBN number no later than February 2024.
  • The format of the manuscript shall be as follows:
    • Full-length manuscripts should not exceed 8 pages (30–40.000 characters) for the main body of the paper (i.e., excluding abstract, references, acknowledgments, tables and figures)
    • Manuscripts should be written in English.
    • The title page should contain the title of the paper, the name, the affiliation and the e-mail address of each author, and an indication of which author will be responsible for correspondence. All contact details (address with postal codes and countries, phone, FAX and E-mail) of the corresponding author are required. Abbreviations in the title should be avoided. Title page should also contain the date when the manuscript is submitted.
    • Abstracts should not exceed 250 words and should be presented on a separate page. Abstracts should be structured with specific sections describing the background and aims, methods, results and conclusions.
    • Abstracts should be accompanied by three to five key words or phrases that characterize the contents of the paper.
    • The body of research reports will generally include introduction, methods, results and discussion sections. Further subheadings are acceptable. Sections should not be numbered. Please, avoid footnotes.
    • Style, statistical reporting, and reference citations should conform to the American Psychological Association’s guidelines, from the APA Publication Manual, seventh edition. To conform with the APA Publication Manual, seventh edition, references should be alphabetized at the end of the manuscript text.
    • Figures should be numbered with consecutive Arabic numerals, have descriptive captions and be mentioned in the text. It is the author’s responsibility to obtain permission for any reproduction from other sources.
    • Tables should be clearly typed with double spacing. Number tables with consecutive Arabic numerals and give each a clear descriptive heading. Avoid the use of vertical rules in tables. Table notes should be typed below the table, designated by superior lower-case letters.
  • The submission platform for the Proceedings will be shared with the participants during the conference.
